Export a controlled PDF

Use this when an approved report revision needs to be shared externally or archived.

  1. Open the approved report revision.
  2. Confirm that the correct revision is selected.
  3. Export the controlled PDF.
  4. Check that report number, revision, export timestamp and verification information are included.
  5. Share the PDF with the recipient.

Recipients should be able to verify whether the PDF is current, superseded, withdrawn, invalid or unknown.

Purpose

A controlled PDF should not just be a printout. It should be traceable to a specific report revision and export event.

This gives recipients a way to verify that the document they are reading is still valid.

Verification

A public verification page can show whether the exported document is current, superseded, withdrawn, invalid or unknown.

If the recipient also has portal access, the verification page can offer a link to open the digital report or latest revision.

Recommended workflow

  1. Complete the report.
  2. Submit the report for review.
  3. Approve the report revision.
  4. Export the approved revision as controlled PDF.
  5. Share the PDF with the recipient.
  6. Recipient verifies the document status using QR/public verification.
