Summary
- Roles control what users can see and do in the portal.
- The exact permission model may vary by configuration, but users should only receive the access they need for their role in the workflow.
Typical roles
Admin users manage company-level settings, users and access.
Superusers typically manage operational setup such as templates, review setup, customers, projects and work orders.
Creators create and edit draft reports when they are assigned or responsible for the work.
Readers have read-only access, normally to approved information.
Third Party and Client users are external users with limited visibility to assigned review or documentation scope.
Good access practice
- Give Admin access only to users who need company-level control.
- Use Superuser access for users who manage operational setup.
- Use Creator access for users producing reports.
- Use Reader access for read-only internal users.
- Use Third Party or Client access only where external participation is required.
Revision visibility
Reader users should normally see approved revisions only. If a newer draft or review revision exists, the Reader should still see the last approved revision.
External users should normally only see revisions that reached their assigned review or visibility stage.
