Summary

  • The portal uses a structured model for technical work: Customer, Project, Work Order, Template, Report, Revision and Controlled PDF.
  • Understanding these concepts makes the rest of the portal much easier to use.

Database Owner

A Database Owner represents the company or organization using the portal. Users, templates, customers, projects, work orders, reports and settings are normally scoped to a Database Owner.

Customer, Project and Work Order

A Customer is the client or company the work is performed for. A Project groups related work for that customer. A Work Order defines the specific job or execution package where reports are created.

Most controlled reporting workflows should start from the Work Order because that is where job-specific context belongs.

Record Type and Report Template

A Record Type classifies the type of report or documentation, for example inspection, test, NDT, welding, dimensional control or inventory usage.

A Report Template defines the fields, tables, instructions, attachments and print layout used when creating reports.

Report Group and Report Revision

A Report Group represents the report as a long-lived item. A Report Revision represents a specific revision of that report.

When a report is revised, the history should remain available so users can understand what changed between revisions.

Snapshot

A snapshot is a controlled copy of report-critical information at a specific point in time, typically when a report is submitted for review.

Snapshots help prevent approved or reviewed documentation from silently changing if templates, assets, project data or other referenced information changes later.

Controlled PDF

A Controlled PDF is an exported version of an approved report revision. It should contain enough metadata to identify the report, revision, export time and verification status.
