Validation

Work Order-specific validation

Use job-specific validation rules without duplicating report templates.

Basic ValidationAdvanced Validation

Summary

  • Work Order-specific validation lets you define job-specific acceptance criteria without creating duplicate report templates.
  • This is especially useful when the same template is reused across several jobs with different customer, project or contract requirements.

Visual overview

Validation conflict check

A simplified model for validating the validation rules before reports are submitted.

1

Template rule

Example: dimension must be between 100 and 110 mm.

2

WO-specific rule

Example: WO-002 requires dimension between 102 and 106 mm.

3

Conflict check

Check whether all active rules can be true at the same time.

What you can do

  • Define validation rules for a specific Work Order.
  • Apply stricter or different limits for one job.
  • Keep report templates reusable.
  • Reduce template duplication.

When to use this

  • The same template is used across multiple Work Orders.
  • Acceptance criteria differ between jobs.
  • A customer or contract has specific requirements.
  • A rule should only apply to one project or work package.

Plan note

Work Order-specific validation is a Professional and Enterprise capability. It is one of the main reasons to upgrade when job-specific acceptance criteria vary between work orders.

Advanced validation

Change a Work Order validation rule

Use this when job-specific acceptance criteria need to be updated.

Open
  1. Open the relevant Work Order.
  2. Open the validation section.
  3. Find the rule connected to the relevant template, field or table column.
  4. Edit the limit, requirement, severity or message.
  5. Save the rule.
  6. Test the rule in a draft report before relying on it in review.

Changing validation after reports are already submitted or approved should be handled carefully because it may affect later revisions differently from historical revisions.

Advanced validation

Check for conflicting Work Order rules

Use this when several job-specific validation rules may apply to the same field.

Open
  1. Identify all active rules for the same template field or table column.
  2. Compare numeric ranges, required logic, date windows and severity.
  3. Check whether the rules can all be true at the same time.
  4. Archive or adjust redundant rules.
  5. Keep the strictest valid rule only if that reflects the actual requirement.

Later, this should be supported by automatic validation-of-validations conflict warnings.

Example

A dimensional inspection template may be reused across several projects. For one Work Order, the accepted tolerance may be ±2 mm. For another Work Order, the accepted tolerance may be ±1 mm.

Instead of creating two templates, keep one reusable template and define Work Order-specific validation rules for each job.

Typical workflow

  1. Open the relevant Work Order.
  2. Open the validation section.
  3. Select the relevant report template or field.
  4. Define the rule, for example required value, numeric range or date window.
  5. Choose whether the issue should be a warning or blocking validation.
  6. Save the rule.
  7. Create or update reports under the Work Order.
  8. Review validation feedback in the report editor before submission.

Availability

Basic template-level validation is available in all plans.

Advanced Work Order-specific validation is intended for Professional and Enterprise plans.
